In our line of business as House Managers & Private Concierge, we are often asked, "What exactly is a House Manager?"


Because the titles are so similar, we are frequently mistaken for Property Managers.

To help you decide which service best fits your family's needs, we’ve put together this easy-to-follow guide to the four distinct roles of property assistance.

1. The House Manager

The Focus: Daily Rhythm, Personalized Lifestyle, and Quality Assurance.

Pay Structure: Usually provided through a monthly membership or billed as a 1099 for residents.

The House Manager is the homeowner’s or long-term resident's on-site household advocate, ensuring the residence functions as a sanctuary rather than a source of logistical stress. They act as your "eyes and ears," maintaining a meticulous standard for every detail of your home life.

Vendor & Housekeeping Accountability: Your House Manager manages the entire vendor schedule—from landscaping and pool care to HVAC and pest control. Most importantly, they perform a rigorous post-service inspection after every visit. If work isn't up to your standards, they handle the correction directly, so you never have to. They also act as your personal assistant when dealing with Property Managers, shielding you from the day-to-day logistics of property care.

Provisioning & Home Staging: We manage the "fuel" of the home. This includes grocery shopping and stocking the refrigerator and pantry with your favorites. We "set" each room for the specific family member staying in it—adjusting climate controls, stocking preferred toiletries, and ensuring linens are perfectly prepared for your arrival.

Asset & Inventory Management: We categorize and watch over your high-value assets (art, fine furniture, and equipment) while maintaining a detailed inventory of household supplies, so the home is always fully stocked and ready for use.

Vehicle & Fleet Care: We handle the logistics of car ownership, including registrations, safety inspections, and insurance. Before you arrive, we ensure all vehicles are fueled, tires are checked, and interiors are professionally detailed.

Arrival & Departure Services: As part of our membership program, we provide seamless transitions. This includes airport pickups and drop-offs in your own vehicle, ensuring your car is waiting and ready the moment you land.


2. Private Concierge

The Focus: Lifestyle Experiences, Access, and Time Management.

Pay Structure: Often paid by the hour (1099) or offered as a specialized add-on in a higher-tier House Management membership.

While the House Manager ensures the home is ready family, the Private Concierge ensures the world is ready for the family. They act as a "lifestyle architect," handling the "who, what, when and where" of your social and recreational life.

Excursion & Itinerary Planning: They curate personalized experiences—from private boat charters and guided nature tours to securing tee times at your favorite golf courses.

Reservations & Access: They hold the relationships necessary to get the best available, tickets to sold-out events, or entry into private clubs.

Travel Coordination: While the House Manager preps the car, the Concierge preps the journey—booking private jets, coordinating international travel logistics, and managing villa stays.

Personal Shopping & Errands: They source hard-to-find luxury items, curate gifts, and handle high-priority errands that require a discerning eye and absolute discretion.

Special Event Coordination: They act as a "mini-event planner" for the family, organizing everything from intimate dinner parties with a private chef to milestone celebrations.


3. The Property Manager (Must have a License in Real Estate in the State of Hawaii)

The Focus: The Physical Asset / Property and Structural Integrity.

Pay Structure: Usually paid via commission (for rentals) or a salary/hourly rate (for HOA/AOAO management).


A Property Manager is primarily concerned with the "shell" of the building and its status as a real estate investment. Their work is often more transactional and reactive than a House Manager’s lifestyle-focused approach.

Infrastructure Maintenance: They manage the "hard" systems of the home, such as roofing, plumbing, and electrical.

Contract Management: For rentals or HOAs, they handle long-term service contracts and oversee contractors for renovations or major landscaping updates.

Leasing & Compliance: If the property is a rental, they manage tenant relations, rent collection, and ensure the building meets local safety codes.

Emergency Repairs: They are the point of contact for major structural failures, like a burst pipe or a broken water heater.


4. The Estate Manager (Must have a License in Real Estate in the State of Hawaii)

The Focus: High-Level Administration and Portfolio Oversight.

Pay Structure: Usually Salaried as a Full Time Employee of the Estate or Billed as a 1099 to the Homeowner

An Estate Manager functions as a "Chief Operating Officer" for a family’s entire organization. They typically oversee multiple properties and large-scale operations.

Personnel Management: They hire, train, and manage the full household staff, including House Managers, private chefs, nannies, and security teams.

Financial Administration: They oversee the "Office of the Family," managing massive budgets and coordinating with accountants and legal teams.

Strategic Planning: They act as the owner’s representative for large-scale construction projects, working directly with architects and general contractors.

Portfolio Oversight: If a family has multiple homes, even globally, the Estate Manager ensures that the standards of service and financial reporting are consistent across every location.


Which one is right for you?
